Users Index
The users list shows each account's name, email address, assigned roles across modules, licence tier, and active module count. Four actions are available from the index: Import Users loads accounts in bulk from a file. View Archived Users shows deactivated accounts that can be restored if needed. Update Login Restrictions applies login time controls across the workspace. User License Report generates a summary of current licence usage across all accounts.
Creating a User
Click New User from the index to open the user form. Name and email are required. Tag Prefix sets a prefix applied to activity tags created by this user. Time Zone sets the user's local time and defaults to Sydney. Sales Areas assigns the user to one or more sales territories. Warehouse links the user to a default warehouse for stock operations. Password can be typed directly or randomised, which emails login credentials to the user. OTP Required for Login enforces two-factor authentication for that account.
Module Roles
Each module has its own role, assigned independently. A user with no role in a module cannot access it. CRM roles are Administrator, Manager, Representative, Operations, Guest Manager, and Guest. Sales roles are Administrator, Manager, and Representative. Billing roles are Administrator, Agent, Sales Manager, Sales Representative, and Guest. Service roles are Administrator, Manager, Engineer, Sales Representative, Guest Agent, and Guest. Stock roles are Administrator, Controller, Order Administrator, Warehouse Operations, Sales Representative, and Guest. The Agents module has one role: Agent Accounting Administrator. Other roles are System Administrator and System Developer. The Mobile role is Service Agent User.
Licence and Active Modules
The Licence field and Active Modules count update automatically as roles are assigned and do not need to be set manually. None means no roles have been assigned. Basic applies to guest-level access only. Standard covers operational roles such as Representative, Engineer, and Operations. Power applies to Administrator and Manager roles. Active Modules counts the number of modules where the user has at least one role assigned.
Login Restrictions
Login Restrictions limit when a user can sign in. Local Business Hours restricts access to business hours based on the user's local time zone. Global Service Hours applies a workspace-wide service window for field-based accounts. Admin Localhost restricts login to local network access only, typically reserved for system administrator accounts.
