The Billing > Customers screen is the central hub for managing customer accounts within BMS. From here you can view contracts, invoices, assets, contacts, sites, and more — all from a single tabbed interface. A summary pane on the right provides quick access to key financial settings and account actions.
Summary Pane
The right-hand summary pane displays key account details including the customer name, account number, and primary contact. It also includes:
Xero Integration — shows the linked Xero contact and sync status for this customer.
Invoice Settings — default invoice terms, payment method, and tax settings applied to this customer's invoices.
Add a Payment Method — link a direct debit or credit card to the customer account for automated payment collection.
Tabs
The customer record is divided into the following tabs:
Contracts
Lists all active and historical contracts for this customer. Displays contract name, type, start and end dates, billing frequency, and status.
Billings
Displays billing runs associated with this customer, showing the generated billing lines produced from contract schedules during each billing cycle.
Invoices
Lists all invoices for this customer. Shows invoice number, date, due date, amount, and current status. Invoice statuses are: Draft, Approved, Processed, Completed, and Cancelled. Approved generates the final PDF and sets the due date. Processed sends the invoice to the accounting package (such as Xero). Completed occurs automatically when the invoice balance reaches zero, updated when payments are reconciled in the accounting package.
Sites
Lists all service sites associated with this customer. Each site can have its own address, contacts, and assets.
Contacts
Lists all contacts linked to this customer account. Contacts can be configured to receive invoices, statements, and other communications.
Assets
Lists all assets under contract for this customer. The Assets tab displays the following columns: Serial No, Reference, Brand, Product Code, Meter Config, Suburb, Geo Area, Location Name, Location Description, Contracts, Import Source, Last Imported, Read Req?, Condition, and Status.
Returned Assets
Lists assets that have been decommissioned or returned by this customer. These assets are no longer active under a contract but are retained for historical reference.
Meters
Displays meter readings associated with this customer's assets. Meter data is used for usage-based billing calculations on applicable contracts.
Profitability
Shows a profitability summary for this customer, comparing contract revenue against associated costs. Useful for account-level margin analysis.
Comments
A log of internal comments and notes attached to the customer account. Use this tab to record account-level communications, follow-ups, or context for other team members.
History
An audit trail of changes made to the customer record, showing what was changed, by whom, and when.
Sub-Navigation
From a customer record in Billing, the sub-navigation bar provides quick links to key views within the customer context:
View Contracts — jumps directly to the Contracts tab for this customer.
View Charges — jumps to the Billings tab showing billing lines for this customer.
Assets — jumps to the Assets tab.
Asset Meters — jumps to the Meters tab for this customer's asset meter readings.
Asset Profitability — jumps to the Profitability tab.
Enter Meters — opens the meter entry workflow to record current meter reads for this customer's assets.
Switch Module
The Switch Module menu allows you to navigate directly to this customer's record in other BMS modules:
Service — opens the customer record in the Service module to view jobs, assets, and field activity.
Stock — opens the customer in the Stock module to view supply orders and stock-related activity.
CRM — opens the linked CRM Account record for this customer.
Sales — opens the customer in the Sales module to view sales opportunities and deals.
