Stock - Product Setup for Supplies/Consumables

A guide on how to add simple products

This procedure assumes the following:

1. You know the item’s product code/s and its manufacturer

2. The manufacture has been added into BMS. To do this go to Select Module > Admin > Settings > Product Settings > Product Brands > + Add Product Brand


Step 1.

Within BMS, locate the products area under the Stock module. To do this, click on the Stock button from the main menu OR select “Stock” from the module menu on the toolbar.

Step 2.

Once in the blue “Stock” module, you need to find the Products area. This is the 4th icon from the top and looks like a tag/label (1).

Once in the Products area, you need to create a new simple product. The “Simple” tab should be opened by default (2). Now select “+ New Simple Product” (3).

Note: Toners, consumables, photoconductors etc are entered as Simple Products in BMS

You should now be taken to the Simple Product creation screen


Step 3.

Now we are in the 'Simple' Product creation screen, we will fill in the require information.

Code: This is the product’s Part Number, SKU, product code etc

Brand: This is the product’s brand/manufacture

Description: This is the products description. This is used else where in BMS where this product is shown (Purchase Orders, Sale Orders, Service Jobs etc).

NOTE: Because of this, we recommend using a standard and clean format. A recommend format is:

FORMAT- *Consumable* - *Manufacture* *Printer Series* - *Colour/item* *(yield)*

EXAMPLE- “Toner - Lexmark C2240/XC2235 Series BSD - Magenta (6k)”

Barcode: Barcode information if available

Image: Upload an image of the product

Details: Additional details on the product, this can be more specific information that isn’t relevant to the product description

Type: Simple

Category: Select the category, “Toner” for toners, “OPC” for Photoconductors etc

Stock Tracking: Unit (generally we aren’t concerned about serial numbers for consumable items)

Stock Unit: Each

Meter Configuration: Select the meter type (I.E: Colour, Mono, A3 Colour, A3 mono etc)

Default Supplier: The default supplier for the product (new suppliers can be added in Stock Module > Businesses (‘building’ icon) > Suppliers > + New Supplier

Buy Price: What price you buy this product for

Sell Price: What price you sell this product for

Product Availability: When is the product available from

Discontinued: Date the product will be or is discontinued

Accounting: Account information for the product

Step 5.

Once all the relevant fields have been completed, you can click “Save Product”

You can now select/use the product in BMS!
