Once a deal is approved, fulfilment moves the stock from the warehouse to the customer — raising backorders where needed, creating the asset, configuring it, and dispatching and invoicing it. This article walks through the sequence.
Checking Stock and Allocating
Expand the build and look at the Warehouse Qty column. Any line without a quantity in the warehouse will require a backorder. If there is existing stock on a line and you want to use it, Allocate it first from the Progress Build button — otherwise, if you choose backorder first, all lines are added to a backorder.
Generating Backorders
Clicking Generate Backorders creates one or more Purchase Orders or Transfers, depending on whether the warehouse is sourced from another warehouse, and — if not — whether there are multiple default suppliers for the products being backordered. No further steps should be taken until the backordered stock comes in. The Purchase Order is receipted, which completes the PO; the build then changes from a pending backorder to complete (green) and the allocation completes as well.
Creating the Asset
Once stock is available, Create the Asset. The asset uses the allocated serial number — from the receipted stock if there was a backorder, otherwise from your oldest existing stock. To check which serial was allocated before creating the asset, go to the Sales Order and click View in the header for the Allocated column. You can change the allocated serial by selecting the line and clicking Adjust Selected Reservation.
Runup, Ownership, Install and Dispatch
After the asset is generated it sits in the warehouse. Generate a Runup Job for engineers to configure it before it is dispatched. Once the engineer has completed the Runup Job, complete the remaining steps: Transfer Ownership to the customer (this changes the asset to be located at the customer site); Create an Install Job for the engineer to deliver and install it; and create and complete the Dispatch to remove the stock from the warehouse.
Generating the Invoice
At any stage after approval, you can Generate and send an Invoice from the dropdown menu on the deal toolbar. Assuming the invoice is done last, processing the invoice is the final step before the deal is complete.
